Position Overview

We are seeking a Talent Acquisition & HR Manager whose primary responsibility is recruiting and hiring talent across the organization. Approximately 70% of this role is focused on talent acquisition, with the remaining scope supporting HR operations and limited administrative coordination of a small J-1 trainee program.

This role centralizes recruiting execution, candidate pipeline management, and hiring coordination, allowing leadership and technical teams to focus on business delivery. While the company supports a small J-1 trainee cohort, this component is secondary and administrative only, with all sponsorship and regulatory responsibility handled by third-party program sponsors.

Core Responsibilities

Talent Acquisition & Recruiting (Primary Focus — ~70%)

  • Own end-to-end recruiting execution across multiple roles and teams

  • Build and manage candidate pipelines using job boards, referrals, sourcing tools, and outreach

  • Post and manage job listings; screen resumes and conduct initial candidate assessments

  • Coordinate interviews, schedules, and feedback loops with hiring managers

  • Maintain candidate tracking, recruiting metrics, and hiring status reports

  • Partner with leadership to forecast hiring needs and prioritize roles

  • Manage recruiting vendors, referral programs, and external sourcing partners

  • Ensure a professional, timely, and consistent candidate experience

  • Support offer coordination and transition to onboarding

HR Operations & Onboarding (Secondary Focus — ~20%)

  • Coordinate employee and contractor onboarding and offboarding processes

  • Maintain personnel records, onboarding checklists, and internal HR documentation

  • Support orientations, role transitions, and systems or workspace access

  • Serve as a point of contact for routine HR and workforce administration questions

  • Ensure documentation is organized, current, and audit-ready

J-1 Trainee Program Coordination (Limited Scope — ~10%)

  • Provide administrative support for a small J-1 trainee cohort

  • Coordinate trainee application intake and onboarding checklists

  • Track trainee timelines, rosters, and program milestones

  • Serve as an administrative point of contact for trainees

  • Coordinate communications with designated third-party J-1 sponsors

  • Escalate sponsor or compliance questions to management when required

Program Scope (J-1 Trainees)

J-1 trainees may support internal teams with:

  • Research and operational assistance

  • Documentation and internal process support

  • Data organization and quality assurance tasks

This role does not supervise technical or scientific work.

Compensation Structure

This position includes a base salary aligned with Talent Acquisition / Recruiting management roles, with an additional coordination fee component tied to the J-1 program:

  • Upfront trainee application coordination fee:

    1. $350 per trainee applicant (paid by the applicant)

  • Ongoing monthly coordination fee:

    • $350 per active trainee per month (paid by the company)

The J-1 coordination component offsets limited administrative effort and does not materially affect the company’s overall cost structure.

Required Qualifications

  • 4–8 years of experience in talent acquisition, recruiting, or HR management

  • Proven experience managing full-cycle recruiting pipelines

  • Strong candidate sourcing, screening, and coordination skills

  • Experience partnering with hiring managers across multiple functions

  • Excellent organizational and communication skills

  • Ability to manage multiple open roles and priorities simultaneously

  • Comfort operating within structured processes and compliance frameworks

Important Notes

  • This is a recruiting-led role, not an immigration or compliance position

  • J-1 responsibilities are administrative, limited, and secondary

  • Success is measured primarily by hiring throughput, candidate quality, and time-to-fill
